Conference Tracker Privacy Policy

This Privacy Policy describes how Engineerica Systems, Inc. (“Engineerica,” “we,” “our,” or “us”) collects, uses, and protects information in connection with the Conference Tracker software and related services, including Conference Leads and Conference Attendee (collectively, the “Service”).


1. Overview

Engineerica provides software tools to help organizations manage conferences and events.

Customer (“Client”) data is processed solely to provide the Service. Engineerica acts as a service provider (processor) on behalf of its Clients, who control the data collected and used through the Service.


2. Information We Collect

We may collect the following types of information:

a. Account Information

  • Name
  • Email address
  • Phone number
  • Organization details
  • Billing information

b. Event Data (Provided by Client)

  • Attendee information (e.g., name, email, contact details)
  • Registration data
  • Attendance and session participation data
  • Speaker and exhibitor information
  • Event content (e.g., schedules, materials, posts)

c. Technical Data

  • IP address
  • Device and browser information
  • System usage and log data

3. How We Use Information

We use information solely to provide and improve the Service, including:

  • Setting up and managing accounts
  • Processing registrations and attendance
  • Generating badges, reports, and certificates
  • Enabling event features (e.g., attendee apps, lead retrieval)
  • Communicating with Clients and authorized users
  • Maintaining system performance, security, and reliability

We do not sell or rent personal information.


4. Customer Data Ownership

All event and attendee data entered into the Service remains the property of the Client.

Engineerica:

  • uses this data only to provide the Service
  • does not use it for marketing or unrelated purposes
  • does not sell or share it with third parties except as necessary to operate the Service

5. Payment Processing

The Service may facilitate payment processing for event registrations through third-party payment providers selected and configured by the Client, such as Stripe, PayPal, or Authorize.net.

Payment transactions are processed directly by these third-party providers. Engineerica does not collect, process, store, or have access to full payment card information.

Payment details entered by attendees or exhibitors are transmitted directly to the selected payment provider, and such transactions are governed by the provider’s own terms and privacy policies.

The Client is responsible for configuring and managing its payment processing accounts and for ensuring compliance with applicable payment and data protection requirements.


6. Lead Retrieval and Data Sharing

If the Conference Leads feature is used:

  • Attendee contact information may be shared with exhibitors when an attendee’s badge is scanned
  • This data is provided by the Client (event organizer)
  • Engineerica does not control how exhibitors use this data

Clients are responsible for:

  • informing attendees of such data sharing
  • obtaining any required consent

7. Communications Through the Service

The Service may send communications on behalf of the Client, including registration confirmations, event updates, reminders, and other notifications related to the event.

These communications are controlled by the Client, and Engineerica processes such communications solely to provide the Service.


8. User Content

The Service may allow users to post or upload content (e.g., messages, images, documents).

Engineerica:

  • does not monitor or control such content
  • is not responsible for its accuracy or legality

Clients are responsible for managing and moderating content within their events.


9. Third-Party Services

The Service may integrate with third-party services (e.g., payment processors, mobile platforms, or cloud infrastructure providers).

Engineerica does not control third-party services, and their use is subject to their respective privacy policies.


10. Cookies and Tracking Technologies

The Service uses standard technologies such as cookies and similar tools to maintain user sessions, support functionality, and improve performance.

These technologies are used solely to operate and enhance the Service and are not used for advertising purposes.


11. Data Security

Engineerica uses commercially reasonable administrative, technical, and physical safeguards to protect data.

However, no system can be guaranteed to be completely secure.


12. Data Retention

Engineerica retains event data to support ongoing use of the Service, including:

  • accessing past conference data
  • generating reports and certificates
  • copying configurations for future events

If the Client also uses other Engineerica services (such as AccuMembership), certain data (including attendance records) may be accessed across services to enable integrated functionality.

After an event:

  • data may become read-only after a period of time
  • Clients remain responsible for exporting any data they wish to retain

Engineerica may delete data after account termination following a reasonable retention period.


13. Additional Information for Event Participants

For Attendees

Attendees register for events managed by the Client (event organizer). Personal information is collected and controlled by the Client.

If Conference Leads (lead retrieval) is used:

  • Your contact information may be shared with exhibitors when your badge is scanned
  • The Client is responsible for informing you and obtaining any required consent

For Exhibitors and Sponsors

Exhibitors using Conference Leads may collect attendee information during the event.

Exhibitors are independently responsible for:

  • their use of collected data
  • compliance with applicable laws

Engineerica does not control how exhibitors use this information.


14. Legal Disclosure

Engineerica may disclose information if required to do so by law or in response to valid legal requests, or when we believe such disclosure is necessary to:

  • comply with legal obligations
  • protect our rights or property
  • prevent fraud or security issues

15. Your Choices

Clients may:

  • access and update their data within the Service
  • request corrections or deletion of account information

End users (attendees, exhibitors, etc.) should contact the event organizer (Client) regarding their data.


16. International Data Transfers

The Service is hosted in the United States. By using the Service, you consent to the transfer and processing of data in the United States.


17. Changes to This Policy

Engineerica may update this Privacy Policy from time to time.

The latest version will be posted at:
https://www.engineerica.com/conferencetracker/privacy/

Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
